This policy explains what we collect when you visit www.pro-curo.com, why we collect it, and what rights you have. It does not cover your use of the Pro-curo application itself at app.pro-curo.com, which is governed by the agreement between Pro-curo and your organisation.
If you complete the form on our contact page, we collect the details you provide, which typically include your name, email address, organisation and your message. The form is delivered by MailerLite, who process this information on our behalf.
This site offers an optional AI voice assistant called Rhys. Rhys is not a person. Nothing happens until you choose to open it and grant your browser's microphone permission.
If you do start a conversation, your voice audio is sent to Fireflies.ai, our AI provider, which processes it in order to understand your question and reply. Fireflies.ai is based in the United States. Please do not share personal details, patient or donor information, or anything confidential with Rhys. If you would rather speak to a person, use our contact page instead.
Closing the assistant ends the session and releases your microphone.
Fireflies.ai states that it does not use personal information to train AI models, and that it contractually prohibits its own suppliers from doing so. It also states that its third-party processing vendors do not retain meeting content once processing is complete. We keep audio and transcripts from this assistant for 120 days, as set out under "How long we keep it" below.
We use Google Analytics 4 to understand how the site is used, for example which pages are visited and roughly where visitors come from. This uses cookies and collects your IP address, device and browser type, and the pages you view.
Our hosting provider, Microsoft Azure, keeps standard technical logs of requests to the site. These are used to keep the service running and secure.
Cookies are small files stored by your browser. This site uses Google Analytics cookies to measure usage. To be clear about what happens: these cookies are set when you arrive, and we do not currently show a consent banner or ask you first.

We do not sell your personal information. We share it only with providers who process it on our behalf, under contract:

We keep enquiry correspondence, marketing list entries, and any audio or transcripts from the Rhys assistant for 120 days, after which they are deleted.
MailerLite states that if a subscriber account is deleted, the associated data is fully deleted or anonymised within 30 days, and that records needed to meet legal obligations are held for up to seven years from termination.
Under UK data protection law you have the right to ask us for a copy of your personal information, to have it corrected or erased, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent where we rely on it. To exercise any of these, email info@pro-curo.com. We will respond within one month.
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
We may update this policy from time to time. The date at the top shows when it was last changed.
